A Case Study: Planning for Success at Georgia College & State University

Successful fundraising campaigns begin long before the first solicitation or donor meeting. Success starts with structure, strategy, and accountability. Without those elements in place, even worthwhile efforts can struggle to gain momentum.

In this article, we explore a capital project campaign built on a strong foundation with proper planning that’s finding major support. The project is at Georgia College & State University (GCSU) where they’re embarking on a significant baseball facility renovation and expansion.

AdvancementEDU founder Chris Dudley first connected with GCSU leadership at a conference. Over time, that initial introduction developed into a relationship involving multiple projects and planning initiatives. One of the engagements centered around helping position the baseball facility project for fundraising success. When AdvancementEDU became involved, the project was still in its earliest planning stages.

GCSU leadership understood the importance of the project and the opportunity in front of them. What they needed was strategic guidance and a partner that would keep the initiative moving forward amid the many competing demands facing the university advancement team.

Planning and Guidance

Before colleges approach philanthropic investors, they must establish a compelling case for support, define priorities, clarify recognition opportunities, identify key prospects, and align goals and messaging.

At GCSU, AdvancementEDU’s role focused specifically on planning and process. Chris Dudley worked closely with a core working group that included university advancement professionals and athletics leadership to help build the framework necessary for long-term success.

That framework included:

– Determining a working campaign goal

– Creating a gift range chart based on the working goal

– Creating a prospect depth chart based on working campaign goal

– Determining a campaign timeline

– Crafting a case for support

– Developing donor recognition opportunities

– Developing a major gift proposal

The process took the project from an idea into a structured fundraising initiative with clear direction and actionable next steps. Importantly, the planning process also ensured alignment around priorities, expectations, and execution.

Structure and Accountability

When projects struggle, often it’s due to administrators and advancement teams balancing countless competing priorities. 

Another important role provided by AdvancementEDU was that of a project management partner. “We provided the structure to get the work done,” said Chris Dudley. “We helped keep the project top of mind and moving forward by developing the plan, making assignments, and conducting frequent check-ins.”

Regular meetings with the working group created structure and accountability throughout the planning process. Action items were assigned, milestones were established, and the project maintained forward momentum even during busy periods across campus.

Why Operational Experience Matters

One helpful factor during the engagement was Chris Dudley’s extensive higher education leadership experience.

Prior to leading fundraising efforts at High Point University, Chris served in senior operational leadership roles overseeing areas that included athletics, facilities, grounds, construction, transportation, events, and campus operations. That experience gave him firsthand understanding of the many stakeholders, operational considerations, and institutional dynamics involved in facility projects.

As a result, AdvancementEDU’s conversations and recommendations were rooted in real-life experience that helped align advancement goals with operational and institutional realities.

Building Momentum

Today, the baseball facility initiative is moving quickly. GCSU secured a lead donation of $2 million because of the collaborative work between the working group and AdvancementEDU. Construction on the overall $5 million project is expected to begin in late 2026.

The project is a reminder that campaign readiness matters. It is crucial to invest time in planning, strategy, and structure before turning to execution.
